For trainers who sell packages

See who’s falling off
before their package runs out.

Two cancellations in a month and no homework since the 3rd. Spotter notices that kind of thing and tells you who’s slipping while there are still sessions left. When a package gets low, it drafts a progress review built around the reason they hired you.

From Ben

A note from Ben

I’m Ben. I’m building Spotter, and I’m setting up every beta trainer myself.

Clients rarely quit in a big way. Someone cancels once, then again. The homework stops. A few weeks later the package runs out and they don’t buy another one. All the signs were there. You were just busy coaching everyone else.

Spotter listens to your sessions, with your client’s OK, keeps an eye on attendance and homework, and gives you a short heads-up when someone’s slipping. When a package is almost done, it drafts a progress review, so the renewal talk starts with their numbers.

The beta is free. I’ll set it up with you on a call and bring your clients over. What I need back is a few weeks of real use and blunt feedback.

Short demo

The brief Alex gets before Jamie walks in

Spotter sends a short brief before every session. This is the one that says it’s time to talk about renewing. It’s 17 seconds and keeps playing if you scroll.

Illustrative example. Jamie and Alex are made up and the voice is synthetic.
Spotter · 6:50 AM · 10 minutes before
Jamie at 7:00. 3 sessions left on her package.
The brief
Where it came from

Every line comes from something Spotter already had: the sessions it recorded, the package you sold her, and the goal she told you about in June.

Progress reviews

A progress review they’ll want to show someone

When a package gets low, Spotter drafts a review around the goal the client came in with. Jamie hired Alex to get ready for a hike, so her review is about the hike. You read it, add a line of your own, and send it.

  • Built around their goal. Someone training to keep up with their kids won’t get a report about body weight.
  • Numbers from your sessions. They were logged while you coached, so you’re not digging through notes on a Sunday night.
  • Private photos and measurements. Shared only with the trainer and client in the app; authorized operators can access data for support.
  • You send it. Nothing goes to a client until you’ve read it.

What it watches

The signs you’d notice if you had time to look

Every heads-up says why it was sent. If you know something Spotter doesn’t, ignore it.

Cancellations

Two in three weeks gets a flag. One after a long weekend doesn’t.

Homework

When someone stops logging workouts in the client app, you see it that week.

What they say

“Work’s insane.” “My knee’s been weird.” Spotter hears it in the session and hangs on to it.

The package

How many sessions are left, and whether the rest are booked.

Their goal

Whether the lifts tied to their goal are still going up.

Going quiet

Nothing booked and nothing logged for two weeks. That alone gets a flag.

Quick math

What lost renewals cost you last year

Put in your own numbers. Nothing here is saved or sent.

$3,600 in packages that didn’t get renewed. Every client you keep is at least another $900.

Questions

Before you apply

Does it message my clients?

Not on its own. Anything meant for a client waits until you’ve read it and sent it.

How does it decide who’s slipping?

Attendance, cancellations, homework logged in the client app, and what they say in sessions. Every heads-up tells you why it was sent, so you can ignore it when you know better.

Can clients see the heads-ups?

No. Those are only for you.

Who sees progress photos?

Only you and that client, in the app. They aren’t used for anything else.

Do I need my clients’ permission to record?

Yes. Get your client’s informed permission before recording and record that consent in Spotter. We walk through the consent controls on your setup call.

What happens to the audio?

It’s turned into notes. Saved recordings and transcripts stay available for review until you delete them. There is no automatic seven-day deletion. We explain recording consent and AI processing during your setup call.
